WhatsApp Is Not a System — When Does Your Business Need a CRM?
Most businesses in Egypt run on WhatsApp, and that is fine — up to a point. These are the signs you have passed it.
Most businesses in Egypt are run from WhatsApp, and there is nothing wrong with that. It is fast, customers are used to it, and it costs nothing. The problem is that it was built for conversation, not for operations — and as the business grows, that gap starts costing money without you noticing.
That loss never shows on an invoice. It shows in a forgotten customer, an order lost halfway up a chat, and a month end where nobody knows the real numbers.
Five signs you have passed the limit
- Customers get forgotten: someone asked for a price two weeks ago, nobody got back to them — and nobody remembers they asked.
- "Who replied to this customer?": if your team keeps asking that, the information does not live in one place.
- Orders get lost in the scroll: a request written in a message, buried under 200 newer ones.
- You do not know your month-end numbers: how many new customers? How many deals closed? How many went to a competitor? If you are guessing, that is a sign.
- Everything lives on one person's phone: if that person travels or leaves, your data leaves with them.
What does a CRM actually do?
Forget the jargon. A CRM is simply one place for all your customers, doing the following:
- Every lead is recorded the moment they get in touch — from the site, WhatsApp or the phone.
- Every customer has a clear stage: asked, sent a quote, thinking, agreed, or lost.
- Follow-up reminders: the system reminds you to call the customer waiting for an answer, instead of relying on memory.
- A complete history: anyone on your team who opens a customer sees everything that has happened with them.
- Real numbers: at any moment you know how many customers are at each stage, and where they came from.
You do not need to start with a giant system
The biggest mistake is buying a huge system with a hundred features when you will use five. The smarter move is to start with whatever hurts right now — usually customer follow-up — and expand once it has proven its value.
A simple system your team actually uses beats a complete one nobody opens, every time.
Your data must stay yours
Before choosing any system, check two things: that the data lives on your own account, and that you can export all of it at any time. Your customers are the most important asset in the business — do not leave them locked inside a system you do not own.
When do you not need a CRM?
Honestly: if you deal with a handful of customers a week, you are the only one replying, and you remember every one of them — you probably do not need a system yet. A simple spreadsheet will do. A system starts to matter when the volume outgrows your memory, or when more than one person is answering.
